The Final Detail Last updated: 14th September 2026
These Terms and Conditions ("Terms") govern the provision of event planning and coordination services by The Final Detail ("we", "us", "our") to you, the client ("you", "your"). By booking any of our services, you agree to be bound by these Terms.
We offer three packages:
Pre-Event Planning – planning and preparation support in the lead-up to your event, for an agreed number of hours, at a fee from £1,000.
On-the-Day Co-ordination – on-site event management from 9:00am to 9:00pm on the day of your event, at a fee from £1,000.
Full Package – both pre-event planning (a greater number of hours than the Pre-Event Planning package alone) and on-the-day co-ordination, at a fee from £3,000.
The specific scope of services, agreed hours, and any bespoke inclusions for your event will be set out in a separate written proposal or booking confirmation ("Booking Confirmation"), which forms part of these Terms.
2.1 A booking is only confirmed once we have received a signed Booking Confirmation and the agreed 10% deposit.
2.2 A non-refundable deposit of 50% of the total package fee is required to secure your booking date. Dates are not held without payment of the deposit.
2.3 The remaining balance is due 8 weeks before. Failure to pay the balance by the due date may result in cancellation of the booking, with the deposit retained.
2.4 We reserve the right to decline any booking at our discretion.
3.1 Payment can be made by bank transfer or Paypal.
3.2 All fees quoted are inclusive/exclusive of VAT.
3.3 Late payments may incur a reasonable administrative charge and may result in the suspension of services until payment is received.
By you:
4.1 If you cancel your booking, the following cancellation charges apply:
More than 12 weeks before the event: deposit retained, no further charge.
Between 12 and 4 weeks before the event: 50% of the total fee is payable.
Less than 4 weeks before the event: full fee is payable.
4.2 Rescheduling your event date may be accommodated where reasonably possible, subject to our availability. A rescheduling administration fee of £150 may apply.
By us:
4.3 In the unlikely event we are unable to fulfil the booking due to illness, emergency, or circumstances beyond our control, we will use reasonable endeavours to arrange a suitably experienced replacement coordinator. If no replacement can be arranged, you will receive a full refund of fees paid for the affected service.
We are not liable for any failure or delay in performing our obligations where this is caused by circumstances beyond our reasonable control, including but not limited to extreme weather, venue closure, transport disruption, industrial action, or government restrictions. In such circumstances, we will work with you in good faith to reschedule where possible.
6.1 Where we recommend, liaise with, or coordinate third-party suppliers (venues, caterers, photographers, florists, entertainment, etc.), those suppliers act under their own separate contracts with you (or, where applicable, with us on your behalf, as agreed in writing).
6.2 We do not accept liability for the acts, omissions, quality of service, or performance of any third-party supplier, whether recommended by us or chosen independently by you.
6.3 It is your responsibility to review and agree the terms of any third-party supplier contracts directly.
7.1 We hold public liability and professional indemnity insurance, and full details are available on request.
7.2 Our total liability to you for any claim arising from these Terms or the services provided, whether in contract, tort, or otherwise, shall not exceed the total fees paid by you for the relevant package.
7.3 We are not liable for any indirect or consequential loss, including loss of enjoyment, distress, or disappointment, except where such loss arises from our negligence or breach of contract.
7.4 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for fraud, or any other liability that cannot be excluded or limited under English law.
8.1 Any changes to the agreed scope of work, additional hours, or additional services requested after the Booking Confirmation is signed will be quoted separately and may incur additional charges.
8.2 We will confirm any additional charges with you in writing before proceeding.
9.1 You agree to provide accurate and timely information necessary for us to plan and/or coordinate your event.
9.2 You are responsible for obtaining any necessary licences, permits, or permissions required for your event (e.g. venue licences, noise permits), unless otherwise agreed in writing.
9.3 You are responsible for the final decisions on all bookings, contracts, and payments made directly with third-party suppliers, unless we have been explicitly authorised in writing to act on your behalf.
10.1 We may take photographs or videos at your event for our own portfolio and marketing purposes (including our website and social media), unless you notify us in writing beforehand that you do not consent to this.
10.2 We will not name you publicly or share identifying personal details without your consent.
We process personal data in accordance with UK GDPR and the Data Protection Act 2018. Details of how we collect, use, and store your data are set out in our Privacy Policy.
